1.3. This Policy applies to Website visitors, people who submit enquiries or take placement tests, students, and the parents or legal guardians of students who are minors. Visiting the Website alone does not mean that you agree to receive marketing messages.
2. Personal data we process
2.1. When you fill in a form on the Website or contact us by telephone, email or messaging app, we may receive your first and last name, telephone number, email address, the content of your enquiry, and any other information you choose to provide.
2.2. To recommend a suitable course, we may process a student's age or age group, preferred language and study format, information about previous studies, placement test results, and interview results. If the course is for a child, we also collect the contact details of a parent or legal guardian.
2.3. Once a student enrols, we may process information needed to organise lessons and fulfil our arrangements with the customer: the chosen course, group, timetable, attendance, learning progress, organisational enquiries, payment information, and records that we are required to retain by law. We do not ask for full payment card details through the Website's forms.
2.4. The Website may process technical information, including an IP address, browser type, date and time of a visit, and cookies, depending on the Website's actual configuration and the services it uses. If non-essential analytics or advertising cookies are used, information about them will be provided through the relevant Website settings.
3. Why we use personal data
3.1. We use personal data to respond to enquiries, contact you about a course, arrange placement tests and interviews, recommend a suitable group, provide educational services, keep records of studies and payments, resolve requests, operate and protect the Website, and comply with legal obligations.
3.2. We send informational or promotional messages about new courses and offers when we have an appropriate basis to do so. You can opt out by emailing info@ubcollege.co or telling a member of our staff. Opting out of promotional messages will not affect communications needed to organise a course you have already booked.
3.3. We process personal data on grounds provided for by Ukrainian law, including handling your enquiry, entering into or performing a contract, complying with legal requirements, or relying on your consent where it is required. We do not ask you to provide information that is unnecessary for the relevant purpose.
4. Children's data
4.1. If an enquiry concerns a minor, we ask a parent or legal guardian to provide the enrolment information and contact details. We use information about the child for placement tests, course selection and the organisation of lessons. We do not publish a child's results or other personal information without an appropriate legal basis.
4.2. If you believe that a child has provided us with personal data without the knowledge of a parent or legal guardian, please email info@ubcollege.co. We will review the matter and take appropriate steps.
5. Who may access personal data
5.1. Authorised school staff may access personal data as part of their duties, including managers, teachers, and staff responsible for record-keeping and Website support. A teacher receives only the information needed to conduct lessons and assess a student's progress.
5.2. To operate the Website and organise courses, we may use providers of hosting, customer relationship management (CRM), email, telephone, video conferencing, messaging, and payment services. We share only the information needed to provide the relevant service, subject to applicable data protection requirements. We may also disclose information to public authorities where required by law.
5.3. Some technical service providers may store or process data outside Ukraine. Where we use such services, we transfer data in accordance with applicable legal requirements. We do not sell personal data to third parties.
6. Retention and security
6.1. We keep personal data for as long as needed to respond to an enquiry, organise or provide lessons, fulfil our obligations, and protect lawful rights. We keep payment records and documents for which the law sets retention periods for the applicable periods. When there is no longer a basis for processing, we delete or anonymise the data unless continued retention is required by law.
6.2. We use appropriate organisational and technical measures to protect personal data, including limiting access to authorised persons and controlling access to work systems. No method of transmitting data over the internet can guarantee absolute security.
7. Your rights
7.1. You may contact us to find out what personal data we process about you, access that data, request the correction of inaccurate data or its deletion where provided for by law, object to processing, withdraw consent you have given, and exercise other rights under Article 8 of the Law of Ukraine “On Personal Data Protection”.
7.2. To make a request, email info@ubcollege.co. To avoid disclosing personal data to someone else, we may ask for information needed to confirm your identity or your authority to represent a child. We will handle your request in the manner and within the time limits prescribed by law. You also have the right to lodge a complaint with the Ukrainian Parliament Commissioner for Human Rights or bring a claim before a court.
8. Third-party websites and changes to this Policy
8.1. The Website may link to third-party websites. Those websites process personal data under their own privacy policies.
